Missed Appointment & Cancellation Policy

At VIBE Chiropractic, we are dedicated to providing you with the highest quality of care and ensuring that your health and well-being are our top priorities. We understand that sometimes unforeseen circumstances may arise, leading to missed appointments. In order to effectively manage our schedule and accommodate all our patients’ needs, we kindly request that you familiarise yourself with our missed appointment policy outlined below. Your cooperation helps us continue to serve you and our community effectively.

MISSED APPOINTMENTS

Missed appointments represent a cost to both the practice and to other patients who could have been seen in the time set aside for you. Please advise us as soon as possible if you cannot attend an appointment. This allows us to offer your appointment to someone else who may need urgent care.

Please note that missing a New Patient Appointment without prior notification will result in the inability to schedule future appointments with our clinic.

In the event of a standard missed appointment, we reserve the right to charge a missed appointment fee of $40.

We are aware that crazy things happen in life, so if you are dealing with a difficult situation please let us know. Be aware that habitual missed appointments are not tolerated (even if fees are paid) and will usually result in your case being referred to another practice.

CANCELLATIONS

To help you keep your appointment, reception staff send reminders 1 business day prior. Please remember that if for some reason you do not receive your reminder, your appointment remains your responsibility to attend, reschedule or cancel.

If you need to cancel your appointment, please:

• Call us - 03 6310 8423

• Respond 'cancel' to the SMS reminder

• Cancel online through your patient login portal (if you have set one up)

• Email us - team@vibechiro.com.au

Emails are monitored on a regular basis by reception staff.

In the event of recurrent cancelled appointments with short notice, recurrent missed appointments, or for missed long appointments, we also reserve the right to charge a non-refundable deposit before making another appointment.

Please understand that we consider this a last resort. The motivating factor behind this policy is our concern for the quality of service we are able to provide to you and to other valued patients.
